What type of personal data do we collect and process and how do we do it?

Personal data is any information that relates to you and can be used to identify you.

We may collect your personal data, for example, when you communicate with us about our services and in the course of receiving our services, such as when you provide us with information during appointments.

Personal data could include information such as: your name and contact information such as email, address and phone number; treatment notes and reports about your health and mental health and any treatment you have received; information surrounding complaints and incidents which may have arisen and emails sent to you or sent by you.

Personal data may include sensitive data about your health and mental health, racial or ethnic origin and sexual orientation. We will process this information where it is necessary for the provision of Gender Plus services.

Most personal data we process is provided to us directly by you. You have the right to choose not to provide us with your personal data but if you do so we may have to cancel a service you have purchased. If this is the case we will notify you at the time. 

We may also receive data from third parties such as your GP, or other clinical colleagues.

We may share this data with third parties as are necessary in our view to enable your healthcare to be delivered. These third parties could include NHS organisations, your GP, Clinical Commissioning Groups or local authorities.

We will only share your personal data if it is necessary for the purpose of your treatment. We may have to share your personal data with clinical colleagues, for example if second opinions or further discussion is needed, other clinical providers, administrative staff or service providers who provide IT and system administration services.

We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We only allow such third parties to process your personal data for specified purposes and in accordance with our instructions.

What we do with the information we have

The purpose we need to process your data is for some or all the following reasons:

  • for the purpose of your treatment;

  • compliance with legal, regulatory and corporate governance obligations;

  • operational reasons, such as recording services, training and quality control; and

  • staff administration and monitoring team performance.

Data security

We have put in place security measures to prevent your personal data from being accidentally lost, used, altered, disclosed, or accessed without authorisation. We will notify you and any applicable regulator of a personal data breach.

Subject access requests

You may ask us for copies of your personal data. Please send your request to info@genderplus.com. There is no charge for making this request and we have one month to respond to you.

Data retention

We will retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal requirements.

When deciding what the correct length of time to retain data, we consider its nature and sensitivity, potential risk of harm from unauthorised use or disclosure, the processing purposes, if these can be achieved by other means and legal requirements.

In almost all circumstances we would anonymise your personal data for research or statistical purposes in which case we may use this information indefinitely without further notice to you. If we can’t practically ensure the data is deidentified, we will contact you to explicitly request consent to use your personal data.
